Guide · for plumbers and trades

Missed call text back for plumbers: answer every call, even under a sink.

When a plumber can't pick up, the caller rarely leaves a voicemail. They call the next name on Google. Missed call text back sends them a text within seconds, so the job stays a conversation with you instead of a call to someone else.

What is missed call text back?

Missed call text back is an automatic text sent to anyone whose call you did not answer, within seconds of the call ringing out. It names your business, says you will call back, and asks what they need or gives a link to book. The caller gets a reply right away, and you get the details to call back with.

Why plumbers lose calls

Most missed calls are not a staffing problem. They happen because the person who answers the phone is also the person doing the work: under a sink, on a roof, driving between jobs, or at the kitchen table at 9 pm.

The calls that matter most arrive at the worst times. A burst pipe or a backed-up drain is urgent for the caller, and an urgent caller does not wait for a voicemail to be returned. They keep dialling until someone answers.

How it works, step by step

  1. A customer calls your business number and you can't answer.
  2. The call rings out, or goes to voicemail, and the system sees it as missed.
  3. Within seconds the caller gets a text from your business number with your name, a line that you're on a job, and a question or a booking link.
  4. They reply with the problem, the address and a photo if it helps.
  5. The reply lands in one place with the caller's number and history, so you can see at a glance what is urgent.
  6. You call or text back between jobs, already knowing what the job is.

What a good text says

Short, from a person, and clear about what happens next. For example:

“Hi, it's Harbour Plumbing. Sorry we missed you, we're on a job. Reply with what's going on and your address, or book a time here: [link]. If water is running right now, turn off the main valve and reply URGENT.”

It names the business, explains the silence without excuses, asks for the one thing you need to quote or triage, and gives an urgent path. It does not try to sell anything.

After hours

Decide in advance what an after-hours call means for your business. If you take emergencies, the text can say so and ask the caller to reply URGENT, which can forward to your mobile. If you don't, the text sets the expectation: a reply first thing in the morning, or a booking link for the next free slot. Either way the caller knows where they stand, which is what stops them calling around.

The rules to follow

A text that answers someone's own call, about their own request, is a reply to their enquiry rather than marketing. Keep it to their request, name your business, and stop if they ask you to.

Adding them to promotions is different. In Canada that needs consent under CASL, and other countries have their own rules, so marketing messages should only go to people who said yes to them.

Text back or an AI agent that answers?

Text back is the simplest fix and works for most small crews: every missed call gets an instant reply and nothing changes about how you answer the phone.

An AI calling agent goes further. It answers the call itself, takes the details, books routine jobs into your calendar and sends urgent calls straight to you, and it tells callers they are speaking with an AI assistant. It suits businesses where calls stack up faster than texts can be answered.

How we set it up

We connect text back to your existing business number where the carrier allows it, write the messages with you, and link the replies to a simple CRM and online booking, so a missed call becomes a booked job without retyping anything. Send a brief and you get a written plan with the scope, a fixed quote and a timeline within one business day.

What we build for this

The parts that do the work.

Each one connects to the others, so a call, a booking and a follow-up all land in one place.

Fair questions

Questions owners ask,
answered.

Still not sure?Ask us anything. We reply within one business day.
Can I keep my current business number?
Usually, yes. Most landline and VoIP numbers can be text-enabled. If yours can't, we set up a new local number in your area code and forward calls from the old one.
Will customers find an automatic text annoying?
Not when it is short, comes from your business number and answers the question they had: are you there and when will you call back. What annoys callers is silence.
Does it replace answering the phone?
No. You still answer when you can. Text back covers the calls you can't take, so none of them go unanswered.
Does it work for other trades?
Yes. Electricians, roofers, HVAC, landscapers and anyone who answers their own phone while working get the same benefit. The message changes, the idea doesn't.
